The 3 accessible workflow options (to start without an IT team)

If your industrial company is considering automating processes for the first time, the last thing you need is an enterprise platform costing 60,000 euros a year that requires a dedicated IT team. Start with something simpler: accessible workflow platforms that a technical manager can learn in a few weeks.

The following three are what we recommend for medium-sized industrial companies to get started. They provide visible results in weeks, without a brutal learning curve and with affordable monthly costs. Once you have traction and understand what type of processes you want to automate, scaling to enterprise tools is much simpler.

Zapier - the most accessible

Zapier is the world's most popular platform for simple workflow automation. It has been on the market for over 10 years and offers integrations with more than 6,000 applications, making it the typical entry point for any company starting with automation.

What it does best: linear automations such as "when an email arrives with a certain subject, create a task in Asana and notify via Slack". Its interface is the simplest on the market, and a user without technical experience can create their first "Zap" in less than 30 minutes.

What it doesn't do as well: complex workflows with multiple branches or advanced conditional logic. For that, the next one on the list is better. Prices from 19.99 euros per month on the professional plan. Limited free plan available for evaluation. It is the ultimate "try and learn" option: no technical curve and almost zero investment risk.

2. Make - the king of powerful visual workflows

Make is like Zapier but designed for more complex cases. Its visual interface allows you to build workflows with multiple branches, conditionals, loops, and advanced data processing. For industry, it is the most balanced option between power and accessibility.

What it does best: multi-step workflows with complex logic. For example: "when a new lead arrives via the web, search for their company on LinkedIn, enrich the data, assign it to a sales representative based on zip code, create a record in the CRM, and schedule a follow-up email in 48 hours". It handles these types of tasks elegantly.

It also integrates with hundreds of platforms, including specific ERPs (SAP, Microsoft Dynamics, Sage). Prices from 9 euros per month for the core plan, scaling according to operations. Free plan available for evaluation.

n8n - self-hosted open source

n8n is the open-source choice for industrial companies with security or compliance concerns. Functionally, it is similar to Make but with a critical difference: you can host it on your own servers, ensuring no data leaves your infrastructure.

What it does best: the same complex automations as Make, but with total control over data and the server. For sectors such as defense, healthcare, or finance (where data cannot leave Europe or private servers), n8n is practically the only serious option.

The difficult part: it requires its own server (or a cloud rental) and basic knowledge of Docker or Linux installation. If your company already has internal IT, it's not an issue. If not, there are cloud versions of n8n with costs starting from 20 euros per month. It also features a very active open-source community and thousands of downloadable workflow templates that speed up initial implementation.

The workflows in the previous section are powerful for connecting modern applications via API. However, there is a problem in many industrial companies: much of the internal software (old ERPs, proprietary applications, legacy systems) does not have an API. To automate interactions with that software, you need RPA: software that simulates human activity using a mouse and keyboard.

The following three are the most robust RPA platforms on the market, capable of automating tasks within old SAP systems, plant management programs without APIs, or banking applications to automate reconciliations. Higher investment, but measurable return when there are massive repetitive processes.

4. Microsoft Power Automate - the Microsoft option

If your company already uses Microsoft 365, Power Automate is the most cost-effective of the three options. It comes included in many Microsoft 365 business licenses and integrates natively with Excel, Outlook, SharePoint, Dynamics 365, and the entire Microsoft ecosystem.

What it does best: combining Make-style workflows with real RPA capability (its Power Automate Desktop component). It allows for the automation of processes that mix modern apps with legacy software on the same machine. For industrial companies with a Microsoft stack, it probably offers the best quality-to-cost ratio.

Limitations: the learning curve is somewhat steeper than Zapier or Make. And for very advanced RPA cases, dedicated platforms (UiPath, Automation Anywhere) are more sophisticated. Cost from 15 euros per month per user, or included in Microsoft 365 E3/E5 plans.

5. UiPath - the global RPA leader

UiPath is the global benchmark in RPA. It has led the Gartner and Forrester rankings in this category for years and features the most advanced implementation of AI within RPA processes. For industrial companies with thousands of repetitive transactions (invoice processing, bank reconciliation, delivery note management), it is the top choice.

What it does best: complex automation at an industrial scale, with the ability to "read" unstructured documents (PDF invoices, emails, scanned forms) thanks to its integrated AI models. Its "robots" can work 24/7 without supervision.

The downside is the cost and complexity. Typical implementation between 30,000 and 200,000 euros, plus annual licenses based on the number of robots. It's not for starting out; it's for scaling when automation is already part of your strategy and you need to industrialize it. It has a network of certified partners in Spain and comprehensive official training for internal teams looking to level up.

6. Automation Anywhere - RPA with integrated AI

Automation Anywhere is the major competitor to UiPath, with a stronger focus on the cloud and intelligent automation powered by generative AI. If your priority is automating processes that require natural language interpretation (classifying emails, extracting data from contracts), Automation Anywhere is slightly superior.

Its "Automation 360" platform is 100% cloud-based, which reduces infrastructure costs compared to on-premise UiPath. And its integration with AI models (including its own LLMs) is more native and recent.

Cost is similar to UiPath for serious implementations. The learning curve is somewhat friendlier, but the Spanish ecosystem of partners and integrators is smaller. Best option if you have a greenfield project, worst if you need a lot of local support.

The 2 specialized options and how to choose among the 8

The previous six platforms cover 90% of the automation needs of a medium-sized industrial company. However, there are two more options worth mentioning for specialized cases: complex multi-system integrations and critical business processes with regulation.

I will now present those two specialized options and, most importantly, the frequently asked questions we hear from industrial executives before they commit to an automation platform.

7 and 8. Workato and Camunda - the two specialized options

Workato is the premium iPaaS (Integration Platform as a Service) option. If your main challenge is connecting your ERP with your CRM, your MES, your logistics system, and three external applications, all with data synchronized in real-time, Workato is probably the best on the market. High cost (from 30,000 euros per year), but a clear return for companies with a complex technological stack.

Camunda is the open-source choice for Business Process Management (BPM). Conceptually different: instead of automating individual tasks, it models complete business processes using standard BPMN notation. Ideal for critical auditable processes (financial approvals, quality management, regulatory compliance). Industrial companies with ISO certifications or strict regulations use it to guarantee traceability of every step.

Neither of these two is for starting out. They are enterprise platforms for specific cases where the options in the previous blocks fall short. If your company has a serious IT team and complex processes, evaluating them makes sense. If not, the first six on the list will cover your needs.

With Zapier or Make. They are the most accessible, inexpensive, and allow you to validate the business case before committing to more serious platforms. For 30-60 euros a month, you can test if automation solves your problems.

If you see results in 2-3 months, you can scale to Power Automate or enterprise RPA. If you don’t see results, you have spent very little money learning where your priority is NOT.

It depends a lot on the process. A simple automation (synchronizing leads from web to CRM): 2-4 hours of configuration. A complex one (processing invoices with automatic data extraction): 2-6 weeks with the right platform.

Serious enterprise RPA implementations in SAP or legacy systems: 2-4 months per process. The important thing: start with small processes, validate, and then scale.

For Tier 1 (Zapier, Make, n8n cloud), no. A technical manager from any area can learn. For Tier 2 (Power Automate, UiPath, Automation Anywhere), you do need someone with a technical profile, whether internal or from an external partner.

For Tier 3 (Workato, Camunda), you need a senior IT team. The good news: most industrial companies start at Tier 1 and never need to go further because the ROI is already excellent.

The repetitive administrative processes: invoice management (incoming and outgoing), bank reconciliation, supplier onboarding, internal ticket management, synchronization between web/CRM/ERP.

These usually have a visible ROI in less than 6 months. Production processes (plant, MES, quality control) are more complex and require specific industrial platforms rather than these general-purpose ones.

All serious platforms on the list integrate with the most common ERPs (SAP, Microsoft Dynamics, Sage, Odoo). However, the level of integration varies: some have pre-built native connectors (Make, Workato, Power Automate), while others require more configuration.

If your priority is deep ERP integration, Workato is the most complete option, followed by Microsoft Power Automate if your ERP is Dynamics. For very specific ERPs in the industrial sector (PrimaSoft, Microsoft Business Central vertical), it is advisable to confirm connector availability before committing budget.

Three metrics: manual work hours eliminated per month (the easiest to calculate and the most impactful), reduced errors (a typical automated process reduces errors by 60-90%), and process cycle time (what used to take 3 days now takes hours).

Multiply by the person’s hourly cost and by months, and you have the return. Most serious projects return the investment in 6-12 months.
